Pinnacle Country Club is currently hiring for the position of Member Event Coordinator.
The Member Event Coordinator is responsible for promoting the Club’s facilities for member-related activities.  They will develop new member events and oversee all administrative aspects of preparing events including: coordinating with those in charge of operating & serving the events and working with the Food & Beverage Managers (Kitchen and Front of House) to assure that the Members’ and Guests’ expectations are exceeded

DUTIES AND RESPONSIBILITIES
The following duties are normal for this position.  This list is not to be construed as exclusive or all inclusive.  Other duties may be required and assigned.
*Promotes, advertises and markets the club's social events to all members.
*Coordinates all scheduled events with all departments for event preparation.  (Rooms needed, room settings, linens, food etc.)
*Works with F/B managers and the Chef to determine selling prices, menus and other details for events.
*Transmits necessary information to and coordinates event planning with production, serving and housekeeping staffs; arranges for printing of menus, procuring decorations, entertainment and other special requests etc.
*Inspects finished arrangements; may be present to oversee the actual greeting of guests.
*Checks function sheets (BEOs) against actual room set up; confirms with F/B managers on personnel scheduling for special functions and may help supervise service personnel. *Alert the F/B Manager and Chef  to staffing needs *Assists the Banquet Event Coordinator with weddings and special events when needed.
*Handles client complaints and passes information on to proper department manager.
*Maintains past and potential event files. Determines which events to eliminate and which events to perpetuate based on member interest.
*Prepares P&L for each event/or assists F&B for their events. *Accountability to Banquet events and club's general budget.
*Obtains necessary permits for special events/functions. *Arranges prompt payment for all events.
*Critiques functions to determine future needs and to implement necessary changes for increased quality.
*Attends management meetings to review policies and procedures, upcoming business and to continually develop quality and image of member event functions.
*Tracks new products and trends in food service and popular activities.
*Assumes responsibility of manager on duty (MOD) if necessary.
*If ever the F/B managers are not present, may make adjustments/suggestions (w/staff) and then always alert manager of what was done.
*Is responsible for ordering linen necessary for member events.
*Performs special projects as assigned.
*Follow up and maintain good rapport with customers (such as sending thank you notes).
*Type detailed BEO's and distribute to all departments for each event.

QUALIFICATIONS

Educational Requirements and/or Experience:

At least 2 yrs previous experience in an event coordinator position.
Associates Degree in Business Management or other related field

Knowledge, Skills and Abilities:
Great communication skills, both orally and written.
Ability to be a team player with all departments
Creativity helpful
